Business Letter Writing Format

    Perhaps you are one of the individual who tries to avoid into business letter writing, but I can assure you that this type of letter wasn’t hard to write if you follow the proper format.

    A good business letter is briefly written and straight forward and try to limit it to single space paragraph.

    Although the letter was briefly written, you should double-check on the format, punctuation, grammar, spelling, opening and closing.

    Another piece of my advice was not to try any fancy font like Comic Sans or others hard to read font.

    Effective business letter only will be born when you able to write it to create the branding image of you and your company in recipient’s mind.

    How To Write Business Letter?

    There were 4 commonly used format for the business letter:

    • Block Letter Format
    • Semi Block Letter Format
    • Simplified Letter Format
    • Alternative Letter Format

     

    In this part, I will try to guide you on how to write the business letter in block format.

    Business Letter Format & Sample

    (Date)

    (Recipient Name)
    (Recipient Title/Position)
    (Organization Name)
    (Recipient Street Address)
    (City, State, Zip Code)

    Dear (Name of Recipient):

    If possible, begin your first paragraph with your main point of writing this business letter with friendly opening. You are not encouraged to go into the details until the next paragraph.

    The second paragraph will be your selling point paragraph where you need to provide data or justification to support your details. You need to write and create the sense of reasoning to the recipient who will be going to read your letter.

    Usually on the closing paragraph, you was advised to restate your selling point and emphasize the importance of the product. Always try to close it by showing gratitude to the recipient’s time.
